How It Works for Volunteers

Volunteers can claim for any journey made for the club, including training, home matches, away matches, meetings, etc.

Example:
A volunteer drives to multiple locations throughout the month for training, home games, and away games. They may travel to training on a Tuesday evening, attend a home match on Saturday, and travel for an away game on Sunday. Over the course of the month, this volunteer accumulates 200 miles of travel for the club.

The club reimburses the volunteer for their mileage at the rate of 45p per mile. (If the volunteer is carrying a passenger (such as another volunteer), they can claim an extra 5p per mile.)

Assume the volunteer is travelling alone, they are reimbursed £90 for their 200-mile journey.

Once reimbursed, the volunteer can choose to gift this amount back to the club.

The club can then claim Gift Aid on the £90 reimbursement, generating an additional £22.50 in funding for the club.

How to Make a Backdated Mileage Claim

• Download the backdated Excel file listed below.
• List all the journeys you made for the club between 2021 and 2024 (excluding COVID-impacted periods). The backdated files list fixtures and training sessions stored on the club website. If any fixtures or training sessions that you attended are missing, please add them.
• Once completed, use the upload link to upload the file for processing.

How to Make an Ongoing Claim

• Download the Ongoing Excel file listed below
• List all the journeys you make for the club each month.
• Once completed, use the upload link to upload the file for processing.

Reimbursement and Gift Aid Donation

The club will process your mileage claim and reimburse you via a payment to your chosen bank account.

You then have the option to donate the reimbursement back to the club as a donation.

A club official will be in touch when your claim has been processed.

Gift Aid Declaration

Before the club can process Gift Aid, you must complete the Gift Aid Declaration.

You can download the form at the bottom of this page. Complete it and upload it using the link below.
